About the Client

The Situation
The client is a UK-based provider of independent trustee and escrow services, managing complex financial agreements on behalf of multiple clients. Their operations involve calculating distributions, validating transactions, reconciling accounts, and producing compliance reports, all to a standard where a single calculation error carries direct financial and legal consequences.
Their existing system handled this work through largely manual processes. As the volume and complexity of client engagements grew, the strain on the operations team grew with it.
The Impact
Trustee operations work with client-held capital, which means the tolerance for calculation error is effectively zero. When that standard is maintained through manual verification, the cost is operational: significant staff time spent checking work that a well-designed system could perform and validate automatically.
The manual process also created a scaling problem. More client engagements meant more data, more calculations to verify, and more compliance documentation to produce. The Resolution
Edstem rebuilt the client's core operations platform in two phases.
The first phase was data migration. A migration framework was built with custom validation scripts that reconciled every historical record against the new system before anything went live. No data moved until it was verified.
The second phase was full automation of the operational workflow. The redesigned system reduces the entire processing cycle to a single action: uploading a file. From that point, calculations, validations, reconciliation, and reporting all run automatically through an event-driven pipeline.
The platform is built on AWS Lambda for serverless compute, scaling automatically to handle transaction files with over one million rows without manual oversight or performance degradation. Apache Kafka manages asynchronous batch processing, ensuring high-throughput workloads move through the pipeline reliably. MongoDB stores each client's unique trustee logic, allowing custom business rules to be applied per engagement while maintaining strict data separation. Open Banking integrations via Truelayer and direct connections to major UK institutions enable real-time financial reconciliation. Automated notifications keep the operations team informed of key events and support the audit trail required for compliance.
The result: 1,000+ man-hours of manual processing eliminated each month. The platform maintains 99.5% uptime and handles calculation accuracy across all trustee operations by design. As data volumes have grown, the platform has scaled to meet them without requiring additional operations headcount.
